Purpose: The purpose of this policy is to describe the conditions and fees applicable for order cancellations. The intent of this policy is to recover all reasonable costs associated with customers cancelling orders. This policy is not intended to contradict any local or national laws or regulations that might stipulate customers’ rights to cancel orders. If local or national laws prescribe conditions under which customers may cancel orders, those local or national laws shall prevail. Exception is made to this when the order has been submitted to the Chinese Consulate. The Chinese Consulate is the People’s Republic of China’s official government entity and is governed by Chinese law and regulations. The Houston Passport Office is part of the United States government entity and is governed by U.S. regulations and laws. For all other visas and documents that are submitted to sovereign nations representative offices, those offices are part of the respective government entities and are governed by those governments. Those representative offices might be exempt from U.S. laws and regulations.

Customer Cancellation Policy:

Please note that there are services that are performed even when we have not submitted your visa or documents to the respective government entities.

Orders, once acknowledged by Chinese Visa Office, may not be cancelled without express written or email authorization by the customer. If and when authorized, the following cancellation fees may apply:

  1. If we have already processed and submitted your order to a third party for a service to be completed (for example, Chinese Visa Application to Chinese Consulate), you will still need to pay the application fee to the third party. We will process this payment for you;
  2. If we have already received your order back from the third party and the service was successfully completed, we reserve the right to charge you in full for the service rendered (the third party’s fee, and our service fee);
  3. If we have not submitted the order to a third party, we reserve the right to charge our service fee for services rendered in relation to the service you purchased. Our service fee is no less than $25 dollars and shall be no greater than the service fee stated on our website for the respective visa.

This Order Cancellation policy applies when the customer cancels all or part of an order after order acceptance and acknowledgement from Chinese Visa Office but before returning documentation to you.

You must provide return shipping, visit our office, or pay $28 for us to use our FedEx account, to retrieve any documentation regardless of the outcome of the cancellation.

Orders cancelled after shipment will not be refunded unless evidence is provided that we have made an error with regards to your service within 15 days.

Visa & Document Rejection Policy:

The sovereign nations and their respective immigration officials have the final decision to admit entry into the country or region or approve any documents. Chinese Visa Office does not guarantee that the issuing authority will issue the visa in a timely manner and within the specified time frame. Any written or oral communications regarding the receiving of the visa or documents between employees of the Chinese Visa Office and you are an estimated time frame.

The sovereign nations reserve the right to change processing times and the final visa approval decision. All issued visas and approval documents belong to the sovereign nations and they reserve the right to cancel them at any time after issuing.

In the unlikely event that your visa or document is rejected by the sovereign nation’s government, (not missing document or request for interview), we are only liable to return your original passport(s) or your original documents for authentication. Sovereign nations reserve the right to keep your application, pictures and any other copied documents. We are not liable to replace them.

Sovereign nations reserve the right to reject your application without providing any reason or notification. Most of these times, they will notify us orally and without any written communication. Chinese Visa Office will attempt to find out the reason, however, it is not guaranteed and not part of our service agreements.

For orders (visas and/or documents), if and when rejected by the sovereign nations, the following fees may apply:

  1. If we believe your application might be rejected, we’ll communicate with you and ask for permission to apply. If you agree, there is a $25 service charge per passport or document. If you do not agree, we will return all documents minus return shipping charge or you must provide a pre-paid return envelope.
  2. The sovereign nations reserve the right to reject any visa application and/or documents and we might not know this before submitting your application.  In this case, we reserve the right to request $25 dollars service charge after we receive your documents back. This might not be communicated before submitting since we did not anticipate rejection.

Interview Request:

Please note that there are services that are performed related to your application when we receive interview requests.

The sovereign nations and their respective immigration officials have the final decision to admit entry into the country or region or approve any documents. Chinese Visa Office does not guarantee that the issuing authority will issue the visa in a timely manner and within the specified time frame.

Sovereign nations have the right to request for an in-person interview without a reason. We will communicate the request to you and it is your decision whether you wish to come or not.

If an in-person interview is requested by the sovereign nation, the following fees may apply:

  1. If you wish to come for an interview and request us to pick-up your passport after the interview, then we will charge $30 dollars pick-up fee per passport or document. If you do not agree for us to pick-up, then a $25 dollars service fee will be charged for the service we have performed. Any return shipping charge is covered by the customer;
  2. If you do not wish to come for an interview, then we will charge a $25 dollars fee for the service we have performed and any return shipping charges applicable.

Refund methods

We will refund all payments minus any service charges applicable via company check and the check will be issued to payee, passport holder, company, or in the case of a minor, the parent’s names. We will either mail the check back with all your documents, mail it separately using USPS or FedEx, or you may come and pick it up from our office.

Credit card payment customers: If you pay with a credit card, we will refund all payment minus any service charges and the initial credit card service charges related to your orders.
